Overview
Who is EXATECH?
For more than 30 years, EXATECH has been designing and implementing comprehensive systems for organizing exams and competitive examinations for government ministries, public institutions, universities, and prestigious higher education institutions (the National Assembly, INSP, Sorbonne University, CentraleSupélec, ESCP, EDHEC, etc.).
What types of services do you offer?
Three major, complementary areas that can be utilized independently or in combination: digital solutions (automated grading, tablet-based testing, digitization of test papers), logistics (provision of test sites, room setup, security, transportation, catering), and professional proctoring of exams.
In which areas do you operate?
We operate nationwide through a two-part network: a network of exam rooms and testing sites throughout France, and a network of proctors covering the Île-de-France region and the entire country. Our exam sites and designated oral exam centers are located primarily in Paris and the inner suburbs (Hauts-de-Seine, Seine-Saint-Denis, Val-de-Marne), which are accessible via the Île-de-France public transit system.
Digital Solutions
How does the automated grading service for paper-based multiple-choice tests work?
Our proprietary tool covers the entire process: design and layout of forms (enhanced Word environment, optical mark recognition fields), printing on 80 g paper, on-site scanning, and automated correction. A PDF proof is systematically approved before printing, and file transfers are routed through a secure SFTP server.
How is the anonymity of candidates ensured?
Candidates' files are integrated directly into Viatique. When the test papers are scanned, the candidate is automatically identified and an anonymization mask is applied, which allows for the reconciliation of logistical management and educational anonymity without manual intervention.
Do you offer the option to take exams on a tablet?
Yes. The exams are administered on secure tablets with no internet connection during the exam. The exam questions are encrypted (AES-256, RSA, SSL/TLS) and stored in a digital vault; access is individualized, monitored, and logged. The tablets are configured, transported, and deployed by our teams, and the start and end times of the exams are synchronized across the entire fleet.
How are essay exams graded?
Through our Viatique solution, which has been in use since 2007. Test-takers complete the exam on standard paper (no special equipment required); the answer sheets are scanned, anonymized automatically, and then graders access the batches via a secure interface. Dashboards enable real-time monitoring, standardization, and reallocation of batches as needed.
Are the results consistent with our academic tools?
Yes, the export files are provided in formats compatible with your information systems, including overall results, results by topic, and statistics by question. Instant recalculation is possible if the scoring scale is changed.
How long are copies and data retained?
By default, one year on our servers; archived copies remain accessible and exportable during this period. Upon special request, Exatech can adjust the archiving period as needed.
Logistics and Infrastructure
How do you choose the exam sites?
Based on strict criteria: flexible capacity ranging from 1 to 50,000 attendees, compliance with public gathering facility (ERP) standards, soundproofing, crowd flow management, accessibility for people with disabilities, a sufficient number of restrooms, and organizer-provided parking. In the event of exceptional unavailability, a pre-identified alternative venue is activated immediately, without any change to the financial terms set forth in the BPU.
What does the setup of the written exam rooms involve?
Professional sound system, synchronized clocks, uniform lighting (> 300 lux), controlled room temperature (19 to 21°), standardized furniture identical for all test-takers (0.50 × 0.65 m desks, chairs with noise-reducing feet), and 0.70 m spacing between rows. The rooms are delivered the day before in perfect condition.
Do you provide accommodations for applicants with disabilities?
Yes, on a case-by-case basis and as directed by the organizer: computer workstations, appropriate lighting, individualized setup, accessible restrooms and pathways for people with disabilities, as well as the provision of a person to assist the candidate with data entry. These accommodations are offered regardless of the chosen testing method: on a tablet, on paper, or on the candidate’s personal computer.
How are the oral exams organized?
Our oral exam centers feature examination rooms, preparation rooms, and reception areas for candidates, all configured to meet the organizer’s needs. Videoconference-based exams are also possible through our Viatique solution. Within the Viatique platform, we also offer oral exam scoring by examiners (using tablets or other devices) as well as a centralized score reporting service.
What safety measures are you putting in place?
All of our sites comply with ERP standards (safety commission approval, safety building permit, SSIAP teams). A reception and screening system is in place (verification of invitations and identification documents, visual inspection of bags, metal detectors as needed), staffed by security personnel.
Do you offer catering services?
Yes, through approved caterers that comply with the EGALIM law (at least 50% sustainable products, including 20% organic), in the form of coffee breaks, meal trays, or buffets, depending on the format chosen.
Exam Proctoring
Who are your supervisors?
A network of more than 1,500 supervisors in the Île-de-France region and throughout France, most of whom are reservists from the Gendarmerie or the National Police, or former government employees.
What criteria are used to select them?
Loyalty and adherence to service obligations; availability and punctuality; strict compliance with instructions; and a professional appearance and manner of speaking appropriate to the context of exams and competitive exams.
What are their responsibilities on the day of the event?
Greeting and verifying the identity of test-takers, actively and discreetly monitoring the exam, distributing exam materials, collecting and recounting answer sheets, managing the flow of test-takers as they leave, and reporting any irregularities to the exam room supervisor.
How do you handle monitoring requests?
Through our dedicated GESTES app: enter service requests (dates, times, volumes), view schedules in real time, automatically generate service notices and contracts, and export URSSAF (DPAE) files. The monitoring center remains available directly for any emergency.
What are the deadlines?
Purchase orders and lists of supervisors by name must be submitted at least 15 business days before the start of services. In the event of any changes, EXATECH agrees to adjust the arrangements within 48 business hours.
Privacy and Compliance
How do you ensure the confidentiality of subjects and data?
Through a combination of measures: digital data encryption (AES-256, RSA, SSL/TLS), logged and individually tracked access, secure transport protocols, storage rooms equipped with alarms and remote surveillance, security guards, and a contractual commitment to absolute confidentiality regarding subjects, copies, and associated data.
Are you in compliance with ERP and accessibility regulations?
Yes, all of our facilities have received favorable reviews from safety commissions and comply with current regulations regarding public access buildings (ERP), hygiene, and accessibility for people with disabilities (PSH).
